From artwork to approved, without the email thread.

A proof in POOF is a real garment, in a real color, with your artwork placed where it will actually print. This page walks through what that means at each stage.

The apparel catalog is live, not a stack of blank mockups.

POOF connects directly to wholesaler catalogs, so the garment on the proof is a real product with a real style number that your shop can actually order.

  • SanMar and S&S Activewear are both supported. Connect your account credentials and the styles, brands, colors, and product images come through.
  • Garment colors come from the catalog. Pick the colorway on the proof and every preview, including the one your customer sees, renders the artwork on that garment color rather than on a generic white tee.
  • Product images are cached and self-hosted. POOF re-hosts catalog imagery instead of hotlinking the supplier CDN, so a proof does not break when a supplier rotates an image URL.
  • Discontinued styles are reconciled. When a wholesaler drops a product, POOF flags it rather than silently serving a dead style number.

Catalog access uses your own wholesaler credentials, entered once by an org admin. POOF does not resell garments or sit between you and your supplier.

Place artwork on one zone or several.

Every apparel item carries its own print zones. Drop artwork onto a zone and POOF records the exact placement coordinates, which is what makes the proof reproducible later.

Single-zone and multi-zone proofs

A single-zone proof is the common case: one design, front chest. A multi-zone proof carries several placements at once, front and back and sleeve, and each zone renders independently in the preview so a customer sees each print location on its own rather than one composite image.

Multi-zone proofs require an explicit placement for every zone before the proof can be sent. There is no implicit “same art everywhere” default, because that is exactly the kind of assumption that turns into a reprint.

Vector artwork, handled as vector

Upload SVG, AI, or EPS files. POOF reads the color set out of the artwork rather than making you type it in, and keeps the vector intact all the way through to the press-ready output your print shop downloads.

Layer ordering is worked out from the artwork geometry, and repeated images are de-duplicated so a design that reuses the same element several times does not balloon the file.

Color presets

Save the color sets you use often. Studios that work with recurring team or club palettes stop re-picking the same hex values on every job.

What your customer actually sees.

The customer gets an email with a link. That link opens a single page. There is no account to create, no password, and no app to install.

  • The proof on the right garment. The design renders on the garment color you selected, per zone, sized to the real print dimensions.
  • Three actions. Approve, leave a comment, or request changes. A change request bounces the proof back to you and the status reflects that, so nothing sits in limbo.
  • Watermarked previews only. Customers are served a flat, watermarked raster rather than the underlying vector. Right-click-save gets them a watermarked image, not your artwork.
  • Internal notes stay internal. Comments are scoped, so what you write for your own team or your print shop never appears on the customer's page.
  • Their language, their choice. The review page can be switched to any supported language right from the page, and the choice sticks for later emails.

Optional customer accounts

Customers who work with you regularly can claim an account with a magic link, no password required. That gives them a home page with every proof you have sent them, a message thread, and a running history. It stays optional. The link-only flow works exactly the same for everyone who does not want an account.

The conversation lives on the proof.

Feedback that arrives in a text message, a forwarded email, and a phone call is feedback you will lose. POOF keeps all of it attached to the job.

  • Customer comments are always open, not just during a formal revision round. If your customer notices something, they can say so.
  • A direct designer-to-customer thread for the back and forth that is not a formal change request.
  • A separate artist-to-print-shop thread on the same proof, for questions about ink, substrate, or scheduling that the customer never needs to see.
  • Email notifications for each go out in the recipient's own language.

Every send freezes a version.

The moment you send a proof to a customer, POOF snapshots the complete state of that proof and stores it as a numbered version bound to the exact link that went out.

The snapshot covers the apparel item, the garment color, every print zone and its coordinates, every artwork file with the colors it uses, each artwork-to-zone placement, and the customer-visible comment thread as of that moment.

  • Revisions do not cost anything. Only the first send of a proof consumes a credit. Re-sends after changes are free, however many rounds it takes.
  • Each round is separately addressable. Version 3 is the exact state that went out in the third email, not a reconstruction.
  • Post-approval edits are detected. If the proof is changed after a customer approved it, POOF compares against the approved snapshot and surfaces the divergence rather than letting it slide through to production.
  • Approved proofs can be reopened deliberately, which is a recorded action rather than a quiet edit.

That frozen snapshot is also what the dispute evidence package is built from. The integrity page covers how it is timestamped and made tamper-evident.
